KM Academic Success provides professional live tutoring and academic coaching to university and college students. These guidelines set the standards all tutors must follow, to ensure:
- High-quality teaching
- Professional student service
- Consistent tutoring standards
- Academic integrity
- Reliable scheduling
- Clear communication
- Protection of students and tutors
- Protection of KM Academic Success
- A consistent, professional student experience
By accepting a tutoring assignment from KM Academic Success, the tutor agrees to comply with these guidelines and terms.
The tutor's primary responsibility is to teach, explain, guide, coach and develop the student's academic abilities — helping students:
- Understand their subjects and difficult concepts
- Develop academic and research skills
- Understand assignment requirements and referencing
- Improve academic writing
- Prepare for examinations and practice questions
- Develop effective study strategies
- Become more confident, independent learners
The tutor's role is to teach the student how to learn and apply knowledge — not to complete academic work on the student's behalf.
Tutors must not:
- Complete a student's graded assignment for them
- Write an entire thesis/dissertation for a student
- Complete an examination for a student
- Impersonate a student
- Fabricate research data, sources or results
- Participate in academic cheating
- Help students circumvent university academic-integrity rules
Tutors may:
- Explain concepts, assignment requirements and research methodology
- Teach research conduct and statistical methods
- Demonstrate software
- Review and provide educational feedback
- Explain referencing and help students understand mistakes
- Guide students through examples and help them develop their own work
Teach the student. Do not do the student's academic work for them.
If a student asks a tutor to perform work that may violate academic integrity, the tutor must politely decline and, where appropriate, inform KM Administration.
- KM Administration reviews the student's requirements.
- KM identifies a suitable tutor.
- KM contacts the tutor regarding availability.
- The tutor confirms whether they are available and suitable.
- KM arranges a 15-minute complimentary introductory/demo session.
The tutor must not independently arrange a student outside the KM process.
- Limited to 15 minutes
- Provided once per student/tutor pairing — multiple free demos with the same tutor are not permitted
- Not a full tutoring session
- Used to understand the student's needs and demonstrate the tutor's teaching approach
- The tutor must not use the demo to pressure a purchase or negotiate pricing
This demo class is complimentary and introductory for both the tutor and the student. KM Academic Success does not charge the student for the demo, and does not pay the tutor for delivering it — it exists purely to let the student experience the tutor's teaching style and confirm the fit before committing to a paid package.
If the student wishes to continue, KM Administration handles the package and payment process.
The tutor should:
- Introduce themselves professionally
- Ask about the student's academic needs
- Understand the student's current level
- Identify the main difficulty
- Explain a small relevant concept
- Demonstrate how the tutor teaches
- Answer a reasonable question
- Explain how future sessions could help
- End professionally
The tutor should not:
- Ask the student to pay them directly
- Offer private tutoring
- Give personal contact details
- Negotiate KM package prices
- Encourage the student to bypass KM
Student → selects package → pays KM Academic Success → KM confirms package → classes are scheduled.
Tutors must not:
- Collect payment directly from students
- Negotiate their own package prices
- Offer discounts without KM approval
- Request payment through personal bank accounts / e-wallets
- Ask students to pay them privately
All payments must be processed through KM Academic Success.
- KM Administration asks the student for preferred dates and times.
- KM contacts the tutor.
- The tutor confirms availability.
- KM coordinates both parties.
- The session is recorded as Confirmed only after KM Administration approves it.
Status flow: Requested → Pending → Approved → Confirmed. A tutor must not treat a session as confirmed while it remains Pending.
Tutors must inform KM Administration promptly if their availability changes, they start travelling, have planned leave, become unavailable on a particular day, cannot continue with a student, or their commitments change.
- Planned leave — provide advance notice, preferably at least 7 days
- Scheduled class cancellation — notify KM at least 24 hours in advance whenever reasonably possible
- Emergency — inform KM Administration as soon as possible; never simply fail to attend
- The tutor informs KM Administration.
- KM assesses the situation.
- KM communicates with the student.
- KM attempts to reschedule where appropriate.
- If necessary, KM assigns another suitable tutor.
- The student's unused sessions remain valid.
- The student does not lose paid sessions because of tutor unavailability.
A tutor must not personally terminate a student's package or arrange a replacement without KM approval.
Students must submit cancellation/rescheduling requests through KM-approved channels — the tutor should not independently approve one.
- ≥ 24 hours before session: rescheduling allowed; session not normally counted as used, subject to KM's policy
- < 24 hours before session: the session may be counted as used
- Emergency circumstances: KM Administration may review and make an exception
The final decision on cancellation, rescheduling, refunds or exceptions belongs to KM Administration.
Student → submits request → KM reviews → tutor availability checked → new date/time proposed → KM approves → session confirmed.
The request remains PENDING until KM Administration approves it. Tutors must not tell students "Yes, it's confirmed" unless KM has officially confirmed the new schedule.
Every KM tutoring session should follow a consistent structure:
- Welcome & introduction (2–5 min) — greet the student, confirm their name, create a comfortable environment
- Check-in — what they'd like to understand today, what they found difficult, whether previous practice was completed
- Review — briefly revisit relevant material from the previous session
- Learning objective — tell the student what today's session will focus on
- Teaching / explanation — examples, diagrams, practical applications, step-by-step explanations (avoid a long lecture)
- Guided practice — I do → We do → You do
- Questions & clarification
- Knowledge check — e.g. "Can you explain this concept back to me?"
- Summary — what was learned, key concepts, common mistakes
- Next steps — what to practice, review, read or prepare
The tutor must complete a Session Report through the KM system, covering:
- Session information — student, subject, date, session number, duration
- Academic progress — topics covered, concepts explained, understanding level, difficulties identified, questions addressed
- Recommendations — practice required, materials to review, next topic, preparation for next session
The report should be concise and professional.
Communication must remain professional, reasonable and related to the service. Tutors may communicate with students through KM-approved channels/interfaces. Where WhatsApp is specifically approved by KM, it should be used according to KM's communication policy.
To protect tutor privacy and safety, students see tutors under a platform display name assigned by KM, not the tutor's legal name.
- Tutors must not reveal their real name, personal social media accounts, personal phone number, home address, or other identifying personal details to students.
- Tutors must not confirm or deny a student's guess at their real identity.
- All session recordings, receipts and system records use the tutor's real name internally for KM Administration only — this is never exposed to the student-facing interface.
- If a student asks for personal details or attempts to identify a tutor outside the platform, the tutor should politely decline and inform KM Administration.
Tutors must not encourage or request students to communicate privately outside KM-approved channels — including personal phone numbers, personal email, social media, Telegram, or personal WhatsApp — unless KM specifically authorizes the channel.
Tutors must never encourage a KM student to leave the platform and become a private client. Prohibited phrases include:
- "You can contact me privately."
- "You can pay me directly."
- "We don't need KM for future classes."
- "I'll give you a cheaper price if you deal with me directly."
Tutors must not provide private tutoring to KM-introduced students without KM's written authorization.
Students may ask reasonable questions, but tutoring is primarily delivered during scheduled live sessions. Students should not send continuous messages, expect immediate responses, or request repeated explanations requiring substantial teaching time.

Tutors should respond to reasonable student messages within KM's established communication timeframe. Tutors are not required to be available 24/7, and should maintain healthy professional boundaries.
Tutors must always be: respectful, polite, patient, professional, supportive, encouraging, non-judgmental, culturally respectful.
Tutors must not:
- Insult, humiliate or shout at students
- Use offensive language or make inappropriate comments
- Discriminate against students
- Engage in inappropriate personal discussions
- Harass students or behave in a threatening manner
Before class, tutors should review the student's previous session and stated objective, prepare relevant examples and exercises, review any materials provided by the student, and ensure their technology is working. Tutors should not regularly enter sessions unprepared.
Tutors must join the online classroom on time, ideally ready a few minutes before the scheduled start. Repeated lateness may result in student complaints, performance review, reduced future assignments, suspension from the tutoring pool, or termination.
- Reliable internet
- Suitable computer/device
- Working microphone and camera where required
- Appropriate, professional environment with minimal background noise
If KM Academic Success records sessions for quality assurance, training, safeguarding or student support, tutors will be informed according to KM's applicable policies and consent requirements. Tutors must not independently record students without authorization, and must not distribute recordings to third parties.
Tutors must protect student information, including identity, university, academic records, assignment and research information, personal and contact information, documents, and research data. This must not be disclosed to others without authorization, except where required by law or KM policy.
Documents received from students for educational purposes must be used only for the tutoring purpose, kept confidential, not shared or published, not used for personal purposes, and not retained unnecessarily.
Tutor payment is based on successfully completed tutoring sessions, not merely on the package purchased by the student.
Example: a student purchases 4 sessions. If the tutor completes 4, they are paid for 4. If the tutor completes 2, they are paid for 2 — the remaining 2 sessions remain the student's entitlement and may be completed with the same tutor or another tutor.
KM may process payments after every 4 completed sessions, or according to another cycle specified in the tutor's agreement. The payment cycle should be communicated clearly before the tutor accepts an assignment.
A tutor is not entitled to payment for sessions that were not delivered.
Any special circumstances will be reviewed by KM Administration.
If a tutor cancels a class due to their own unavailability, the student should not lose the session — KM will coordinate rescheduling or a replacement. The tutor will not be paid for an undelivered session, and repeated last-minute cancellations may affect future assignments.
If a tutor fails to attend a confirmed session without reasonable notice, KM may require an explanation, arrange a replacement, record the incident, review the tutor's reliability, restrict future assignments, or suspend/terminate the tutor relationship for repeated or serious incidents.
Tutors must not independently approach KM students for additional private lessons, private payments, personal services, business opportunities, or other commercial arrangements. All additional tutoring must be arranged through KM.
Tutors must not negotiate prices with students. All package prices, discounts, refunds, promotions, additional sessions and special rates must be approved and managed by KM Administration.
If a student requests additional sessions beyond their package, the tutor should direct them to KM Administration and must not independently schedule a paid additional session outside the KM system.
If a student requests another tutor for reasons such as teaching-style mismatch, subject requirements, availability, or communication issues, KM Administration will review the request and identify another suitable tutor if appropriate. The original tutor should remain professional and must not pressure the student to continue.
If a student complains about teaching quality, tutor behavior, scheduling, communication, or academic concerns, the tutor should not argue with the student.
Listen → Remain professional → Refer the matter to KM Administration.
KM Administration will investigate and make the appropriate decision.
KM may monitor student satisfaction, attendance, punctuality, session reports, student retention, complaints, tutor communication, teaching quality, academic integrity, and professional conduct. Tutors may receive feedback and coaching to improve.
Every tutor is expected to provide tutoring that is Professional + Prepared + Personalized + Interactive + Outcome-focused. The objective is not simply to "finish an hour."
The student should leave the session understanding something better than when they entered.
The following may constitute serious violations:
- Academic cheating
- Completing assignments for students
- Exam impersonation
- Fabricating research
- Soliciting KM students privately
- Accepting direct payments from KM students
- Sharing confidential student information
- Harassment
- Discrimination
- Repeated unexplained absence
- Repeated late cancellation
- Misrepresentation of qualifications
- Providing false information to KM
- Unauthorized use of student documents
- Attempting to bypass KM's systems or payment process
Serious violations may result in immediate suspension or termination.
Tutors must provide accurate information regarding their academic qualifications, professional qualifications, teaching experience, research experience, subject expertise, university affiliation (where relevant), and professional experience. KM may verify qualifications before assigning students. Providing false or misleading information may result in termination.
